Registration Guidelines

All participants, including authors, co-authors and presenters of accepted presentations must Create an Account and register via the Online Registration Form.

Please read the instructions below carefully.

• All participants must fill all the fields in the Registration form and click ‘Submit’ button to the payment gateway
• The preferred method of payment is UPI/Net banking/Debit card/Credit card payment.

Registration Fee covers :

• Access to all scientific sessions.
• Conference kit
• Live interactive forums and opportunities for question time with speakers
• Sessions and platforms used within the online program
• Lunch and refreshments

Note : Accommodation is NOT included in the Registration fees, and have to be arranged by the participants themselves. The DPHICON 2023 Accommodation Committee, however, will facilitate the participants in arranging their accommodations in hotels nearby the venue. Preconference Workshop Fee:

Pre-Conference Workshop is planned to be held on 07.12.2023. In order to participate in the workshop, a fee of rupees 1000/- in addition to the Registration Fee given above needs to be paid. One can register for either Pre-Conference Workshop or Conference or both of them by making appropriate choice at the "Registration type" in the Registration form. DPH Delegates :

• This category includes all those who work under the Department of Public Health and Preventive Medicine, Govt of Tamil Nadu.
• You are mandatorily required to submit your departmental ID card with either CPS/GPF number or employee code

Under-Graduate student/Post-Graduate Student :

You are mandatorily required to submit Bonafide certificate for registration.

Note : Dear Delegates, 'Registration Category' must be your current designation (as on the date of registration) irrespective of your past experience in any of the categories under 'Registration Category'. Post Graduates, irrespective of your course of study have to register under "Post Graduate" be either service or non-service candidates, specifically for Tamil Nadu students.

Confirmation of Registration:

Each participant will receive a registration overview and notification confirming receipt of payment in their registered e-mail.

A participant cannot register more than once using the same Mail Id (or) Mobile Number.

Cancellation / Refund Policy:

• Until 14th November 2023 – 20% of INR will be deducted as administrative fees and rest will be refunded.
• From 15th November 2023 – 100% deduction.

Payment Details:

• Registration fees are collected on behalf of DPHICON 2023 Madurai by the Conference Secretariat, O/o. Deputy Director of Health Services, HFW Training School Campus, Viswanathapuram, Madurai - 625014, Government of Tamil Nadu.
• All fees are to be paid in INR.
• In the unlikely event of a rejected on-line credit/debit card payment, the participant is recommended to return to his/her online registration form and try to process the payment again. Should the payment issue persist, the participant is advised to contact the card issuer/bank first to check for any potential block on the online transaction. If so, once this is removed it will be possible to pay via the online payment gateway.

General Cancellation Conditions:

• All cancellations must be notified in writing (by email) to the Secretariat.
• Requests for refunds made after 15th November 2023 will not be considered.
• It is possible to change the name/contact of the registered participant for an administration fee of INR 500.
• Certificates will be issued to the person who is attending the conference in the name of the registered person only on attendance to the conference.

Note : Refund fee will be processed 4 weeks after the conference, excluding the transaction charges

Insurance

The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.

Cancellation or Modification of the Meeting Due to Force Majeure

In the event of a force majeure situation, DPHICON 2023 reserves the right to alter or cancel the meeting without prior notice, including any change of the time and/or venue of the meeting. Any occurrence of force majeure event shall be communicated as soon as reasonably possible from the decision time. Force majeure includes any circumstance beyond the reasonable control of DPHICON 2023 that prevents or impedes the realization of the meeting. This includes but is not limited to, government action, war or hostilities, riot or civil commotion, or other epidemic such as SARS including COVID-19, bird flu, earthquake, flood, hurricane, cyclone, fire or other natural physical disaster, explosion, accident or breakdown,strike, lack of the usual means of transportation or terrorism.

Limit Presentation

Please note that one presenter can only present up to a maximum of 4 presentations. If the co-authors are willing to join the Public Health Conference they must register for the conference.
